Job Title: Operations Assistant
Location: Sittingbourne, UK

Working Pattern: Full-time (Monday to Friday)
Key Responsibilities
- Take customer bookings on the GJS system and handle customer queries via telephone, email, fax, and other communication channels.
- Monitor the Operations email mailbox and respond to bookings and queries in a timely manner.
- Control and dispatch drivers, including monitoring circuits, drivers, and subcontractors to ensure timely collections and deliveries.
- Handle problems and queries arising from the daily transport operations and customer service provisions.
- Match, collate, and send customer invoices.
- Manage driver data tasks, including license checks, holiday requests, and HR-related administrative duties.
- Oversee subcontractor control tasks such as booking jobs, processing invoices, price checking, proof of delivery matching, payment report creation, and payment processing.
- Ensure drivers complete daily defect checks on the Tru-Checks system.
- Check the DES system to perform diesel matching and associated tasks.
- Oversee PCNs and fines, including cost control, driver expense allocation, and record management.
- Monitor driver behaviour, including telematics analysis and reporting, processing driver weekly checks, fuel sheets, and vehicle checks.
- Manage fleet-related accounts, including Dart, TfL, lease companies, fuel card providers, and more.
- Conduct clandestine prevention tasks and reporting.
- Perform general administrative duties, including ATA carnets, customer paperwork, planning, facilities, and building management tasks.
- Assist with warehouse operations, loading/unloading vehicles, occasional driving jobs, project work, and other duties as required.
- Represent the company professionally, in line with company values.
What We’re Looking For
- Minimum of two years of experience in an administrative, operations, or customer service role.
- Excellent verbal and written communication skills.
- Proficiency in MS Word and Excel.
- Strong problem-solving skills.
- Ability to work in a fast-paced environment, meet deadlines, and handle multiple functions daily.
- High level of accuracy and attention to detail.
- Strong interpersonal skills for working individually and as part of a team.
- Committed, adaptable, reliable, and punctual.
- Conscientious work ethic.
Desirable
- Experience in the road transport industry, ideally in a leading same-day courier company or similar field.
